Terms & Conditions
Last updated: October 3, 2026
These Terms & Conditions (“Terms”) govern (a) the use of the pythia.works website and its subdomains, and (b) the provision of Pythia Works services, digital products and subscriptions. By using the Website or receiving any of our services, you accept these Terms.
The processing of personal data is described in our Privacy Policy, which forms an integral part of these Terms.
1. Who we are
K.A. Pythia Works AI Digital Services (hereinafter “Pythia Works”, “we”, “us”).
- Registered address: Tripoleos 23E, 2235 Latsia, Cyprus
- Email: [email protected]
“K.A. Pythia Works AI Digital Services” is the trading name of Kostis A. Antoniades Trading Ltd, registered in Cyprus.
All communication with us takes place by email, at [email protected].
2. Definitions
- Website: pythia.works and its subdomains (including portal.pythia.works and chat.pythia.works).
- Portal: the customer dashboard at portal.pythia.works, where you manage active tools, subscriptions, invoices and support requests.
- Services: subscription tools (e.g. the AI chatbot, automation tools), off-the-shelf digital products (e.g. PrestaShop modules) and custom projects (e.g. website development, custom software).
- Client: the natural or legal person entering into a contract with us.
- Consumer: a natural person acting for purposes outside their trade or profession.
- Credits: the unit measuring usage of the subscription tools, as defined in section 14.
3. Acceptance of these Terms
Accessing and using the Website constitutes unconditional acceptance of these Terms. If you do not agree with them, please do not use the Website.
4. Permitted use of the Website
The Website is provided for lawful information purposes and for contacting us. The following are expressly prohibited:
- any action that interferes with the operation or security of the Website (attacks, excessive request loads, circumvention of security measures);
- automated bulk collection of content (scraping, crawling beyond standard search engines) without our written permission;
- submitting unlawful, offensive or misleading content through our forms or the chatbot;
- using the Website to develop or train a competing product.
5. Intellectual property of the Website
All Website content (text, articles, graphics, logo, mark, visual identity, code, structure) belongs to Pythia Works or is used under licence, and is protected by intellectual property law.
You may temporarily store and print pages for personal use. Reproduction, modification, republication or commercial exploitation is not permitted without prior written consent. Quoting a short extract from an article is permitted with clear attribution and an active link to the source.
6. Contact form and newsletter
Submitting the contact form does not create any obligation for either party; it is a request to get in touch. We are bound only by a written quotation or contract, as set out in section 11.
Newsletter sign-up is based on your consent, and you can unsubscribe at any time via the link included in every message.
7. The demo chatbot on the Website
The Website hosts a working demo of our AI chatbot. This is a product demonstration:
- Responses are generated by artificial intelligence language models and may be inaccurate, incomplete or outdated.
- No chatbot response constitutes a binding offer, advice, or a guarantee of price, availability or outcome.
- If a chatbot response conflicts with our written quotation, the written quotation always prevails.
- Please do not enter sensitive personal data, passwords or payment details into the conversation.
8. Prices shown on the Website
Prices, packages and features presented on the Website are indicative and may change at any time without notice. They do not constitute a binding offer. Only what is included in our written quotation, or on the Portal checkout page at the time of order, is binding.
All prices shown exclude VAT. VAT is added at invoicing at the applicable rate (currently 19% in Cyprus).
9. Third-party links and services
The Website may link to third-party websites. We do not control and are not responsible for their content, policies or practices.
10. Website availability
We make reasonable efforts to keep the Website available and up to date, without guaranteeing uninterrupted operation. We reserve the right to modify, suspend or discontinue any part of the Website.
11. How a contract is formed
- Custom projects and services: following an enquiry, we send a written quotation setting out scope, deliverables, timeline and price. The contract is formed upon written acceptance of the quotation (email is sufficient) or payment of the deposit.
- Subscription tools: your Portal account is created by us, by arrangement — there is no automatic user registration. The subscription is activated once payment is completed and you receive our confirmation email.
- Off-the-shelf digital products: the contract is formed upon completion of the order and delivery of the file or licence.
12. Prices, taxes and payments
- All prices are in euro (EUR) and exclude VAT, which is added at the applicable rate (currently 19%).
- For businesses established in another EU member state holding a valid VAT number (verified via VIES), the reverse charge mechanism applies, provided the legal conditions are met.
- Subscriptions: charged in advance, for a monthly or, for packages where it is offered, yearly billing period of your choice, by debit or credit card through the Portal and our payment provider Stripe. The yearly price equals 10 times the monthly price of the same package. The subscription renews automatically for the same period, with a new advance charge, until cancellation (section 16). The free trial, the Enterprise package and services with a monthly price only (e.g. GEO Monitor, Maintenance) are not available with yearly billing and remain monthly.
- Custom projects and services: unless the quotation states otherwise, 50% is payable on commissioning and 50% on delivery. Payment is made by bank transfer within 14 days of the invoice date.
- Late payment: if payment is more than 14 days overdue, we reserve the right, after notice, to suspend the service and to claim statutory default interest.
- We do not store card details; card processing is handled exclusively by Stripe.
- Setup fees: where “Free until 31/12/2026” is shown, this is a time-limited promotion. After it ends, the setup fee then published applies.
13. What each package includes
The contents of each package (credits, available AI models, features, support) are described on the pricing page and in the Portal. We reserve the right to improve or replace technical components — in particular specific AI models or providers — provided the value of the service is not materially reduced.
14. Credits and overage
- Every bot response consumes credits. The exact number depends on the AI model used: more capable models consume more credits per response. Your current usage and remaining balance for the period are shown in the Portal.
- Each package’s credits are monthly, on both monthly and yearly billing: they reset every month and unused credits do not roll over to the next month. On a yearly subscription, the monthly credit period is counted from the subscription start date.
- Overage: if the period’s credits run out, the service keeps running and the overage is charged automatically at your package’s overage rate on the next invoice. On a yearly subscription, overage is charged monthly, at the end of the credit month in which it arose, on a separate invoice. You receive a notification when usage reaches 90% of your monthly credits.
- Abusive or automated use aimed at artificially inflating consumption (e.g. bots, load testing without prior arrangement) entitles us to suspend the service.
15. Free trial
The free trial lasts 7 days, with limited credits and features. No card details are required and it does not convert automatically into a paid subscription: once it ends, access stops unless you choose a package. The trial is provided “as is”, with no guarantees of availability or support.
16. Term, renewal and cancellation
- Billing period: each subscription has a monthly or yearly billing period, as chosen when ordering, and renews automatically at the end of each period for the same period.
- You may cancel at any time, from the Portal or by email to [email protected].
- Cancellation takes effect at the end of the current paid period, whether monthly or yearly: the service remains active until then and no pro-rata refund is given for the remainder of the period.
- Switching from monthly to yearly billing: the change takes effect immediately. You are charged the yearly price and the unused balance of your current monthly period is credited against that charge. The new yearly period starts on the day of the switch.
- Switching from yearly to monthly billing: the change takes effect at the end of the current yearly period. Until then the yearly subscription remains active, with no refund for the remainder, and monthly billing starts at the next renewal.
- Setup fees and project fees are non-refundable once work has started.
- After a subscription ends we retain your account data for 30 days, so that you can request an export. It is then deleted, except for data we are required to keep for tax or accounting purposes.
- Consumer rights (section 28) are not affected.
17. Suspension and termination by us
We may suspend or terminate access, with notice where reasonably possible, in the event of non-payment, breach of these Terms, unlawful use, or actions that endanger the security and operation of our systems or those of third parties.
18. Client obligations
The Client undertakes:
- to provide, in good time, the information, content and access required for implementation (e.g. e-shop access, API keys, hosting);
- to ensure it holds the rights to the content it provides to us (text, images, product data) and that its use does not infringe third-party rights;
- to keep its account credentials confidential and to notify us immediately of any breach;
- to comply with the legal framework applicable to its own activity, including informing its end users about the use of a chatbot and complying with the GDPR as data controller.
Delays caused by late provision of information or access shift the timeline accordingly.
19. Support and service availability
- Support hours: Monday to Friday, 10:00–16:00 (Cyprus time), excluding public holidays.
- Channels: email at [email protected] and the support request system inside the Portal.
- First response time: within one business day.
- We make reasonable efforts to keep services continuously available, without guaranteeing a specific uptime percentage. Planned maintenance is announced in advance where feasible.
- Services depend on third-party providers (hosting, AI model providers, platforms such as PrestaShop). Outages attributable to them do not constitute a breach of these Terms.
20. Intellectual property in deliverables and licences
- Custom projects: upon full payment, the Client acquires full rights to use the code and materials developed specifically for it.
- Reusable components: we retain ownership and the right to reuse the generic tools, libraries, frameworks, templates and know-how developed before or independently of the specific project.
- Subscription tools: a non-exclusive, non-transferable right of use is granted for the duration of the subscription. No software ownership is transferred and no source code is delivered.
- PrestaShop modules: the licence is granted per shop/domain, is non-exclusive and non-transferable; resale or redistribution is prohibited. Updates and fixes are included for 12 months from purchase.
- Client content: remains the Client’s property. The Client grants us the limited licence required to provide the service.
- AI-generated content: is the result of automated processing. We do not guarantee its uniqueness or the absence of similarities with third-party content; the Client must review it before publication or use.
21. Personal data
When we process data for our own purposes (e.g. communication, invoicing) we act as data controller — see our Privacy Policy.
When we process the data of the Client’s end users through our tools (e.g. chatbot conversations, order data), we act as data processor on behalf of the Client, who remains the data controller. In that case a separate Data Processing Agreement (DPA) under Article 28 GDPR is concluded upon request.
22. Confidentiality
Each party undertakes to keep confidential the information it receives from the other in the course of the engagement (technical details, commercial data, prices, access credentials) and not to disclose it to third parties, unless required by law. This obligation remains in force for three (3) years after the engagement ends.
23. Warranties and disclaimer
- We undertake to provide our services with professional care and technical competence.
- We do not guarantee any specific commercial outcome (e.g. increased sales, search engine rankings, a given level of support automation).
- Responses from artificial intelligence systems may contain errors. The Client is responsible for supervising, reviewing and configuring their use in its own environment.
- Third-party software (PrestaShop, add-ons, model providers, hosting services) is subject to its own terms and warranties.
24. Limitation of liability
- We are liable for damage caused by wilful misconduct or gross negligence, and for any liability that cannot be limited by law.
- Otherwise, and to the maximum extent permitted by law, our total liability for any claim arising from the engagement is limited to the amount you paid for the relevant service during the twelve (12) months preceding the event giving rise to the claim.
- We are not liable for indirect or consequential damage, loss of profit, loss of data or goodwill, nor for damage caused by acts of the Client or third parties, failures of third-party services, or use of the services in breach of these Terms.
- The Client must maintain its own backups of its data and website.
- The limitations in this section do not affect Consumer rights (section 28).
25. Force majeure
Neither party is liable for non-performance caused by events beyond its reasonable control (natural disasters, war, strikes, large-scale network or cloud service outages, cyberattacks, government measures). Performance is suspended for the duration of the event.
26. Third-party providers
We use reputable third-party providers to deliver our services (including EU-based hosting, Stripe for payments, and AI model providers). We reserve the right to replace them, provided an equivalent level of service and data protection is maintained.
27. Client reference
We reserve the right to refer to the Client’s name and logo as a client reference on the Website and in our promotional material. The Client may request an exemption in writing at any time.
28. Consumer rights
This section applies only if you contract as a Consumer. Our services are primarily aimed at businesses.
- Right of withdrawal: you have the right to withdraw without giving a reason within 14 days of concluding the contract, by a clear statement sent to [email protected].
- Starting before the period expires: if you expressly request that the service begins within the 14-day period, you acknowledge that you lose the right of withdrawal once it has been fully performed. If you withdraw while the service is in progress, you owe the amount corresponding to what has already been provided.
- Digital content: with your express prior consent to immediate delivery and your acknowledgement that you thereby lose the right of withdrawal, that right does not apply once download or delivery of the digital product has begun.
- Legal conformity: you retain in full your rights regarding digital products and services that do not conform to the contract, under Cyprus and EU consumer protection law.
29. Complaints and dispute resolution
Please contact us first at [email protected] — we respond to every complaint within a reasonable time.
If no solution is found, as a Consumer you may contact the Consumer Protection Service of the Cyprus Deputy Ministry of Commerce, Industry and Shipping, the European Consumer Centre Cyprus for cross-border disputes within the EU, or a competent alternative dispute resolution body.
30. Changes to these Terms
We may amend these Terms. The updated version is published on this page with a new last-updated date. Material changes affecting active subscriptions are notified by email at least 30 days before they take effect; if you do not agree, you may cancel your subscription before they come into force.
31. Assignment, severability and entire agreement
The Client may not assign rights or obligations without our written consent. We may assign the contract in the event of a corporate restructuring, with notice.
If any provision is held invalid, the remainder stays in force. These Terms, together with the written quotation and the Privacy Policy, constitute the entire agreement between the parties; in the event of conflict, the written quotation or contract prevails.
32. Governing law and jurisdiction
These Terms are governed by the law of the Republic of Cyprus and the courts of Nicosia have jurisdiction. For Consumers, mandatory legal provisions and the jurisdiction of their place of residence are not affected.
